The Quick Start Guide to QuickBooks Online

September 15, 20224 min read

In this article, we'll explore some of the benefits that QuickBooks Online accounting software offers to small business.

We'll also talk about how QuickBooks can help you save time and reduce your costs.

Quickbooks online is becoming popular with small businesses because it's a cloud-based system that is hosted by QuickBooks and you don't need to buy any hardware or install any software on your computer.

One of the biggest advantages QuickBooks software offers is that it eliminates paper and reduces costs. In fact, QuickBooks online gives access to all your financial records from any location you have an internet connection. This software can help you save a lot of time in bookkeeping because it's easy to use. It can also help you in reducing costs and improving profits because QuickBooks helps to keep track of your cash flow.

Keeping Track of Expenses

Uploading receipts is super quick and easy through the Quickbooks Online App.

Uploading receipts with QuickBooks is quick and easy. You can do it on your phone! There are two ways to upload receipts, either by taking a photo of the receipt or by scanning the receipt using the QuickBooks app.

When the receipt is uploaded the app imports the information from the receipt - this technology is called 'parsing'.

By uploading your expenses immediately you avoid the risk of forgetting or losing receipts, as well as data fading and becoming hard to read.

Working with other apps and programs

QuickBooks integrates with a wide variety of third-party systems, so you can view your data in the accounts system that works best for you.

QuickBooks is cloud-based and integrates with dynamic web apps and CRMs to save you time. Export invoices automatically from QuickBooks to create new records in your CRM or dynamic app. You can also export an entire company file from QuickBooks to use as a starting point for another quick app, saving you hours of work.

Outside of CRM it also works well with time tracking apps, job tracking for field technicians, and hundreds of others. In addition to having native integrations, Quickbooks also works with Zapier, a program that integrates thousands of apps together.

Why is integration a must? Simply put, integration saves time and improves efficiency. It's better to spend less time actually doing your bookkeeping and more time growing the business.

Integration can be used for quick tasks, such as creating a new customer in Quickbooks but also for larger tasks within the accounting system itself - automating invoicing, inventory-taking, generating estimates.

Best of both worlds

Intuit QuickBooks Online allows you to import bank statements as well as individual transactions. The site supports the basic reconciliation procedure where you check your monthly statement monthly with what you see online. When new transactions go into an accounts register deposited by the Bank you can verify and enter it. You can further document transactions by specifying an area, including billable to a customer and giving some additional info.

Project profitability & Mileage Deduction

QuickBooks Online Plus Version includes project profitability. It is possible to see a profit percentage from a single project at any point. Intuit also integrated into their website an attribute popular with QuickBooks self-employed people. You can fill in an address on every trip beginning/end and the site calculates miles traveled and deduction on mileage for your taxes. The website provides an auto-tracking app to track your miles on a mobile phone: simply turn on the location tracking system to track your travel!

Right on Budget

In the past, bookkeeping was just too expensive for small businesses. QuickBooks Online is a relatively affordable option, which means QuickBooks online can be used by any business - whether you're just starting out or you have been in business for years.

Quickbooks Online comes with a monthly subscription fee, which makes QuickBooks an excellent choice for those looking for a low monthly cost, rather than a big expense one time per year. As well, they offer four different pricing tiers so that you only pay for the features you need.
